Description:
We are looking for a responsible Admin and Accounts assistant to help us increase our sales revenues, develop and maintain customer relationships within the Philippines. This person will be working closely with our General Manager and Sales Manager on new accounts generation, local logistics management and providing administrative support and in a well-organized and timely manner. The ideal candidate will have previous experience selling construction materials to contractors.
Responsibilities:
Generate target customer lists
Generate leads via daily phone calls to target clients
Set appointments with clients, manage the GM/Sales Manager calendars, travel arrangements, including transport and accommodation
Organize / Coordinate meetings, which may involve setting up conference / video calls and prior booking of resources, and ensure that meetings are well-prepared for
Create and maintain a marketing campaign, conducted via email and social media platforms
Perform background research to qualify customer's eligibility- advise sales manager of key customer information prior to sales manager visit
Regularly update the customer data sheet, market intelligence sheet (pricing) etc.
Generate and maintain all shipping documentation- delivery receipts, official receipts, invoicing
Interface and coordinate with distribution and logistics suppliers
Assist with collections
Answer incoming enquiries from customers
Responding to all queries as well as order submission
Attend meetings and record meeting minutes, with possible requirement to participate in presentations
Properly maintain existing office systems, including data management and filing of confidential documents
Produce and format weekly/monthly performance reports and presentations
Any other relevant administrative requests by the GM and Sales Manager
Requirements:
3 years of relevant work experience in a an administrative role, preferably with experience in corporate communications / client relations
Honest, reliable, proactive and willing to take initiative
Good written and oral communication skills
Excellent word processing skills, with a willingness to learn
Ability to work under pressure and to tight deadlines
Ability to present material clearly and professionally
Outstanding organizational, interpersonal and time management skills
Ability to exercise discretion on confidential matters
Detailed and organized
