We are currently looking for a dedicated professional to assume the responsibilities of Administrative Professional 1.
Provides secretarial duties for Personnel Director. Retrieves, stamps and distributes mail and correspondence. Types, edits and corrects typed copy from written copy, oral instruction or dictation. Type correspondence, memos and reports requested by the supervisor. Independently respond to routine correspondence and requests for information not requiring the attention of the supervisor (eg. departmental and institutional policy questions, procedures to follow, requests for information on personnel, institution, DR&C and other state agencies that may be referenced to supply information or needs, etc). Screen calls and requests for Personnel staff.
Research material and gather data for reports for the Personnel office (eg employee demographics, position funding types, vacancy status report, annual personnel budget, etc.). Act as liaison between supervisor, staff and the public.
Set up and maintain office filing and logging system (eg. establish files and logs, file new information and purge old information, enter information into logs, etc.). Requisition office supplies and equipment. Produce typed copy of various forms and reports (eg. EEO report, performance evaluations, etc.).
Perform general clerical duties (eg. act as receptionist, answer telephone, screen and route calls, take messages, schedule appointments, greet visitors, open and distribute mail, make photocopies and assist payroll officer as needed, etc.).
Minimum Qualifications:
1 yr. trg. or 1 yr. exp. in secretarial science or business office applications.
For positions requiring technical terminology, applicants must also have 6 mos. trg. or 6 mos. exp. in relevant technical terminology.

Major Worker Characteristics:
Knowledge of English grammar & composition; arithmetic that includes addition, subtraction, multiplication & division; records management; business communications; administrative practices & procedures*; general office practices & procedures; agency-specific office practices & procedures*. Skill in keyboarding; business office software applications (e.g., Microsoft Office); operation of personal computer & office machines (e.g., transcribing equipment, calculators). Ability to deal with problems involving several variables within familiar context; apply principles to solve practical, everyday problems; interpret instructions in written or oral form; write routine business letters following standard procedures; complete routine forms or records; make appointments; arrange items in numerical or alphabetical order; move fingers easily to perform manual functions; assess questions & provide appropriate information or referral.
